Start with the Usable Turnover Window
Share when guests leave and the next arrival time, property size and expected turns per month. We confirm the cleaning tasks, capacity and available timing before scheduling. Agree who approves extra work and informs guests if access is delayed.
Copy This Turnover Handoff Into Your Private Notes
Use this private handoff before each turnover. It does not confirm a booking. Keep guest names out of public documents.
- Property reference and actual unit: ______.
- When guests leave and when the next guests arrive: ______.
- Requested cleaning window and provider confirmation: ______.
- Beds and bathrooms to prepare: ______.
- Rooms, cleaning tasks and approved extras: ______.
- Clean linen location and laundry responsibility: ______.
- Restock list, host-provided supplies and shortages contact: ______.
- Rooms and items to leave untouched: ______.
Plan the Gap Before Accepting Back-to-Back Stays
Allow for the time the team can actually enter, not just the scheduled departure. Plan for late departures, supply shortages and extra work. Confirm availability before accepting back-to-back stays; cleaning time varies by property.
| Stage | What To Confirm | Who Decides |
|---|---|---|
| Before accepting dates | When guests actually leave, next check-in, property scope and provider availability. | Host and cleaning provider confirm the plan. |
| If access is delayed | When entry becomes possible and whether the original scope still fits. | Authorized host or manager agrees any change with the provider. |
| If extra work is found | Describe the work, request approval and confirm time or price changes. | Named scope approver; the team does not assume permission. |
| Before guest arrival | Review completion and any unresolved supplies or maintenance. | Host or authorized manager decides guest readiness. |
Make the Linen and Restock Plan Specific
Count clean linens for each bed and bathroom and separate them from used stock. Agree bed-making, laundry and restocking responsibilities before service. Making beds with host-provided linens does not include laundering or replacement linens unless separately arranged.
| Item | Ready For This Stay | Responsibility To Confirm |
|---|---|---|
| Bed linens by bed size | Required sets: __. Clean sets available: __. | Host supplies suitable clean stock; agree bed-making scope. |
| Towels by agreed setup | Required towels: __. Clean towels available: __. | Confirm layout and where extras are stored. |
| Used linens | Designated collection location: __. | Name the laundry provider, agreed limits and replenishment plan. |
| Consumables | Approved items and quantities: __. | Name who buys replacements and who receives shortage reports. |
Assign the Final Readiness Check
Agree who checks completion, receives issue reports and approves extra work. Repairs, lock changes and guest communication remain with the host or manager unless separately arranged. Cleaning does not guarantee a deadline delayed by guests or trades, ratings or Superhost status. Record observed conditions without assigning blame or promising reimbursement.
- Issue observed: ______. Room and item: ______.
- Condition and time observed: ______. Describe facts without assigning blame.
- Photo of the issue, if allowed: ______. Keep guests and personal belongings out of shared images.
- Host or manager notified through the agreed channel: ______.
- Approval requested for work outside scope: ______.
- Unresolved item and host decision before check-in: ______.
Keep Instructions Simple When Guests Leave
Keep the instructions for when guests leave short. Airbnb distinguishes normal use from excessive cleaning and says hosts may not charge fees solely for skipped departure tasks. Plan the turnover without relying on guests to finish laundry before the next stay.
Confirm the Correct City and Building Rules
Confirm the property’s city jurisdiction; a Phoenix postal label alone does not establish it. Phoenix and Scottsdale publish separate rental guidance. Cleaning does not replace city, HOA, lease or building requirements. Confirm your linen-storage and turnover requirements with management. We also turn over rentals in Downtown Phoenix, Arcadia (85018), Central Phoenix and Biltmore (85016).
Trash Day and Checkout Day Can Differ
For a Phoenix-area rental, check collection by the actual property address. Use the appropriate Phoenix or Scottsdale lookup, or ask building management about shared bins and private collection. Record where turnover bags go and who sets containers out and brings them back. Emptying indoor bins does not automatically include a separate collection-day visit.

Questions Before You Book
Can You Guarantee a Same-Day Turnover?
We review the property, available cleaning window and capacity before confirming dates. Tell us about back-to-back stays and late departure plans rather than assuming a guaranteed slot.
Who Handles Repairs and Missing Supplies?
Agree a named host or manager contact. Cleaning and issue reporting are distinct from repairs, purchases and the final decision to release the property to guests.
